Almost everyone has had this call: "Press 1 for sales, press 2 for support, press 3 to repeat this menu." You listen through options that don't quite match what you need, guess the closest one, and hope. That's an IVR — Interactive Voice Response — and for a long time it was the only automated option for handling a phone line you couldn't staff around the clock. It isn't anymore, and the difference between an IVR and an AI receptionist is bigger than "one sounds more modern."
An IVR is a fixed decision tree: a recorded menu, a caller pressing numbers or saying short keywords, routed down a pre-built path. It's rigid by design — every possible reason someone might call has to be anticipated and mapped to a button in advance. If a caller's situation doesn't fit neatly into one of the options, the system can't adapt; it can only route to the closest match or a general queue.
That rigidity is also its main limitation: an IVR can route a call, but it can't understand one. It doesn't hold a conversation, doesn't answer a question it wasn't explicitly programmed for, and can't complete a task like booking an appointment — it can only get the caller closer to someone who can.
An AI receptionist holds a real, natural conversation instead of asking a caller to fit their situation into a menu. The caller just says what they need — "I want to reschedule my appointment," "do you have a table for four at 7," "what are your hours on Sunday" — in their own words, and the agent understands it and acts on it directly: checking availability, booking the appointment, answering the question, or routing to a person only when the situation actually calls for one.

An IVR isn't obsolete for every use case — a very simple, high-volume routing need (an operator switchboard forwarding to a handful of departments, nothing more) can still be handled by a basic menu reasonably well. Where it breaks down is anywhere a caller's need is more specific than a menu button: booking, ordering, answering a real question, or anything that benefits from an actual conversation.
If your phone line mostly needs traffic directed to the right extension, a phone tree can still do that job. If a missed step after the call — a caller who hung up rather than navigate a menu, a booking that a phone tree couldn't make on its own — is actually costing you business, that's the sign you've outgrown "press 1 for sales."
